Exhibitors


Registration for Exhibition is FULL. We are NO LONGER accepting exhibitors this year.


In order to exhibit you must register for the conference. "Exhibits only" and "meals only" registration options are not available. All exhibitors are welcome, invited and encouraged to attend any and all conference sessions, events and meals.

Exhibit Booth

A 10' x 10' display space will be provided for each exhibitor, with a limited number of 10' x 20' spaces available for an extra fee. The booth will consist of a standard pipes & drapes set-up with an 8' high rear drape and 3' high side drapes. The front will be open. Each booth will also be provided with a 7" X 44" sign (approx.), and a 6' X 30" high table, two chairs and a wastebasket. Any other needs (AV equipment, booth embellishments, power extension cords, etc.) must be arranged and purchased by you directly through either the Exhibit Services Vendor or the AV Vendor (see contact information below).

Location

Exhibits will be in the Grand Ballroom of the Hyatt Regency St. Louis Hotel. This is the same location in which on-site conference meals and breaks will take place. The Exhibit Hall will be the center of activities during the conference.

Exhibit Schedule

* The times listed below are subject to slight modifications as the conference draws near.

The Exhibit Hall will open on Sunday, June 19 at 5:00 p.m. and will close after lunch at 1:30 p.m. on Tuesday, June 21.

The Exhibit Hall will be open during the day on Monday, June 20 from just before breakfast (about 7:45a.m.), to just before conference participants leave for the special evening event (about 5:30 p.m.) and Tuesday from 7:45 a.m. until just after lunch (1:30 p.m.). Conference attendees are scheduled to be in the Exhibit Hall for breakfasts, lunches and breaks. Click on the Schedule link above for a more specific conference schedule.


Exhibitor Highlights

AHECTA provides several ways for exhibitors to be individually recognized during the conference.

Sticker Sheet Drawings - Every exhibitor will receive a supply of unique stickers. Attendees will all have a sticker sheet with all exhibitors listed. Attendees who have visited all exhibitors and received each exhibitor's sticker, can place their sheet in a drawing for gifts or "give-aways" provided by exhibitors. Drawings for an exhibitor's gift/give-away(s) will take place during meals/breaks from the exhibitor's booth.

Exhibitor Drawings - Some exhibitors choose to do their own drawing(s) for gifts/give-aways from business cards (etc.) they have collected during the exhibit hours. These drawings will be conducted during the same times as those for sticker sheets.

Sponsorships - Conference sponsorships are available for meals, breaks, pre-conference activities, conference email station, etc.

Set-Up and Tear-Down

The Exhibit Hall is scheduled to be set up and ready for exhibitors to set up their booths by 11:00 a.m. on Sunday, June 19 . Exhibitors may begin tearing-down immediately following lunch on Tuesday, June 21 (approximately 1:30 p.m.).


Shipment and Storage of Materials

AHECTA has contracted with Paramount Convention Services, Inc. for receiving, storage, set-up and tear-down of exhibits. The Hyatt Regency St. Louis will not receive or store materials.


Exhibit Services Vendor

Paramount Convention Services, Inc. will be providing exhibit services for AHECTA's CCC2005. Exhibitor information kits are available upon request from Paramount Convention Services. You may also download the kit by clicking on the link below.
